Lead Tutor

GENERAL SUMMARY

The Lead Tutor manages all supplemental academic and orientation services and the team providing those services for the Auguste Escoffier School of Culinary Arts, working closely and collaboratively with leadership, instructors, staff, and tutors, servicing the IDL, Austin, and Boulder campuses. This position coordinates and provides operational oversight for academic and orientation tutoring services. This includes, but is not limited to: scheduling, evaluating tutoring activities, overseeing the deployment and use of tutor tracking software to provide communications between tutors and students, to collect data related to tutoring sessions, student completion, and coordinating communications to promote services. The Lead Tutor will encourage a culture of learning that values mutual responsibility and respect, lifelong learning, and ethics, as well as personal and professional development amongst the team. This position requires strong communication skills, knowledge of multiple technological platforms, particularly as it relates to tutoring and learning assistance, and experience with tutoring services. Night and weekend assignments may be required.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Leadership

  • Coordinate the schedules of team members to meet the needs of students and facilitate team members participation in outreach, tutoring sessions, and workshop events.
  • Create and manage the workshop schedule, topics covered, and hosting/co-hosting assignments.
  • Initiate and oversee development of new resources, presentations, and workshops as needed.
  • Manage and customize tutoring LMS page to inform students of tutoring services, personnel, and provide supplemental resources.
  • Oversee the function and use of tutor tracking software (TimeTap) by students, tutors and instructors, ensuring the functionality for student use, optimizing data collection, and automating communication to students about upcoming sessions.
  • Record and manage situations where students violate tutoring and/or student code of conduct policies.
  • Provide support to the team during business hours of 9am CST to 9pm CST, six days a week.
  • Hold the team accountable for consistency, accuracy, efficiency, and effectiveness, providing coaching for improvement, administering written documentation of disciplinary actions.
  • Observe, analyze, and report relevant team and student data/actions during the daily leadership meeting; be able to answer relevant questions presented by leadership and provide options for solutions.
  • Hold weekly inidual meetings with each tutor to foster the relationship, discuss relevant information, and provide necessary coaching.
  • Conduct end of term reflective coaching sessions with each tutor to review their goals and coach to intentional improvement. Manage, update, and analyze each tutor’s goal book for each end of term coaching and annual review discussions.
  • Attend all scheduled program meetings, in-service workshops, and school-wide faculty meetings.

Data & Reporting

  • Collect, analyze, and report tutoring and orientation data, including but not limited to the number of completed and booked sessions, hours tutored per term by tutor, success rates for students by service, booking and completion percentages, student satisfaction percentage, etc.
  • Continually investigate for, create, collect, and analyze student and team data points impacting team and/or business strategies and goals, using simple to advanced spreadsheet formulas.
  • Record and assess student’s weekly academic progress and grade changes by tutor, topic, and team.
  • Manage and monitor the Tutoring Dashboard for reporting accuracy, used by leadership.
  • Analyze and report outreach results for patterns, repeat students, student red flags, and instructor requests.
  • Regularly review the student tutoring session and workshop feedback for quality assurance.
  • Recommend goals and direction for the team based on data and reporting.

Communications

  • Coordinates the daily team activities in collaboration with and support of other isions and departments.
  • Acts as a liaison to faculty to effectively connect curriculum teaching and learning to

academic tutoring practices and outcomes.

  • Organize and create specialized outreach scripts, assignments, and data sets, for orientation and at-risk conditionally active students based on data analytics and historical records.
  • Acknowledge/respond to all communication from students, team members, staff, and leadership during working hours, according to policy.
  • Manage and hold the team accountable for their communications.
  • Communicate with other departments on behalf of the team, with relevant student information.

Hiring & Onboarding

  • Identify and report staffing needs.
  • Initiate and supervise new hire onboarding, coordinating with full time tutors for shadowing opportunities.
  • Conduct final tech-check of all new tutors.
  • Assess and assign services tutors are qualified to teach.

QUALIFICATIONS

  • College Degree (Preferred)
  • Culinary Degree or Certificate (Preferred)
  • Culinary Experience (Preferred)
  • Education Experience (Preferred)

PHYSICAL DEMANDS

  • Sitting for long periods of time; up to 8 hours of computer work daily
  • Carrying papers and materials; up to 10 pounds
  • Attend mandatory meetings and training for up to a 2-hour duration
  • Able to read a computer screen(s) and maneuver between multiple applications and platforms
